Operations Coordinator 

 

In this role, you will provide operational, administrative, and commercial support across Service, Sales, Logistics, and General Office functions. You will help ensure smooth coordination between customers, engineers, suppliers, and internal teams while keeping processes accurate, compliant, and on track.

 

What You’ll Do

  • Manage service and sales order processing, including purchase orders, quotations, invoicing, and contract renewals.
  • Coordinate logistics for spare parts, consumables, system deliveries, and returns, ensuring compliance with import and export requirements.
  • Maintain operational systems such as SMS, ERP, SharePoint, Contract Tracker, preventive maintenance schedules, and stock records.
  • Liaise with customers, engineers, suppliers, and transport partners to ensure timely service delivery and effective issue resolution.
  • Maintain accurate financial and operational documentation for audits, stock checks, and internal reporting.
  • Oversee general office administration, including facilities coordination, safety checks, and supplier management.
  • Support weekly and monthly operational meetings with accurate updates, documentation, and reporting.
  • Coordinate compliance activities under HQ supervision, including HSE documentation updates, training tracking, RMA creation and updates, document control, policy support, and corporate calendar monitoring.

 

What You’ll Bring

  • Experience in operations, service administration, or sales order processing, with a clear understanding of end-to-end workflows.
  • Confidence working with ERP and CRM systems such as QAD, SAP, SMS, or SharePoint, and strong Excel skills for tracking and reporting.
  • A solid grasp of invoicing, purchase orders, and import and export documentation.
  • Experience coordinating logistics and managing stock with accuracy and care.
  • Clear communication skills and the ability to build trust with customers, engineers, and suppliers.
  • Strong attention to detail and a commitment to accurate documentation.
  • The ability to prioritise tasks, manage multiple responsibilities, and follow through.
  • A proactive, problem-solving mindset with a collaborative approach to cross-functional teamwork.
  • Experience working in an office environment within a technical or engineering company; knowledge of Electron Microscopy terminology is an advantage.
